Solution Management - The Ostendo Implementation Process

Solution Management has a tried and tested process for helping our clients implement Ostendo software in their businesses. Throughout this process, we provide our clients with training and project management support. After the system is up and running, our team will provide a combination of on-site and remote support to fit your company's needs. Our support framework includes agreements for support on an as-required basis, as well as more comprehensive service-level agreements. Our service-level agreements let staff call us for support whenever they need it, without having to worry about additional costs they may be incurring.

Pre-implementation Review

Before beginning the implementation, we will take the time to understand your business. We will map your business processes, and advise you on how you can get the best results from your Ostendo system.

Software Installation

We will install the latest version of Ostendo on your server and computers, and make sure everything is up to date. Our team has more than ten years experience, across most of the popular small to medium business accounting packages. Accounting packages which integrate with Ostendo include: Xero, MYOB, Reckon, MoneyWorks, and QuickBooks Online. 

Data Migration

Prior to importing your data into Ostendo, we will work with you to extract your data from existing systems and prepare it in Excel ready for you to review. The data migration process is typically a joint effort, covering customer, supplier, contact, inventory, sales history, bill of materials, and master data. This ensures that you will have access to all the data you're accustomed to after the switchover, but now with all the benefits of the Ostendo system.

Ostendo configuration

We have extensive experience in both configuring Ostendo's default functionality and setting up company-specific processes. The range of company-specific processes we have experience with includes: website integrations such as Shopify and WooCommerce, factory data-capture screens, Ostendo Freeway for smartphones and tablets, and warehouse management (3PL). If needed, this will include customization of reports and Ostendo functionality.

Staff training

We will provide staff training throughout the process of going live, and beyond. For example, we will train your sales staff on how to enter sales orders into Ostendo, and train your purchasing staff in how to enter purchase orders. We will plan training that suits the experience level of your staff, and provide it when they are available. We will provide procedure documents for your staff to reference while using Ostendo on the job. Our training techniques include the use of standard procedures, company-specific procedures, PowerPoint presentations, and videos.

Support for going live

When it's time to go live with your new system, preparation will start at least one month before the go-live date. Key activities will include: running some parallel transactions in the Ostendo training database to ensure staff are comfortable with their new processes, preparing for accounts receivable and accounts payable, and stock balancing. Having been through the process many times before, we have the experience to make the switch go as smoothly as possible, and the preparedness to quickly tackle any bumps in the road that do arise.

Post-implementation support

With a service-level agreement, staff will be able to call us for support whenever they need it without having to worry about the company being billed for the call. On-site support will be available on an as-required basis.
